This Privacy Policy explains how WorkGlide collects, uses, discloses, and protects personal data when you access or use the WorkGlide website, mobile applications, APIs, and AI-powered hiring platform.

This Policy applies to two categories of users:

  • Recruiting Organizations (also referred to as "Employers"): companies, agencies, and their Authorized Users (recruiters, hiring managers, administrators) who use WorkGlide to manage recruitment.
  • Candidates: individuals who apply for roles, complete assessments, or participate in interviews through the Platform at the invitation of a Recruiting Organization.

By using the Services, you agree to the collection and use of information as described in this Policy. If you do not agree, please do not use the Services.

1. Who This Policy Covers, and Who Controls Your Data

For Candidates, it is important to understand the roles involved in processing your data:

  • The Recruiting Organization that invited you to apply, interview, or take an assessment is generally the data controller (or "Data Fiduciary" under Indian law) for your personal data. It decides what data is collected, why, and how long it is kept, as part of its own recruitment process.
  • WorkGlide acts as a data processor on behalf of the Recruiting Organization, processing your data only as instructed by that Recruiting Organization and as needed to operate the Platform.

This means that for questions about a specific job application, rejection, or how a particular Recruiting Organization uses your data, you should first contact that Recruiting Organization directly. WorkGlide will assist Recruiting Organizations in responding to such requests where required.

For Recruiting Organizations, WorkGlide acts as the data controller in respect of account, billing, and usage data collected directly from you (as opposed to Candidate data you input into the Platform).

2. Information We Collect

2.1 Information from Recruiting Organizations Account and registration details: name, work email, phone number, job title, company name.

Billing information: billing address, payment method details (processed via a third-party payment processor; we do not store full card numbers).

Content you upload or configure job descriptions, interview questions, evaluation criteria, company branding, and other Recruiting Organization Content.

Usage data: log-in activity, feature usage, device and browser information.

2.2 Information from Candidates Identity and contact details: name, email address, phone number, and, where provided, address.

Application materials: resume/CV, cover letter, work history, educational qualifications, and portfolio links.

Interview and assessment data: video and audio recordings, transcripts, written responses, test scores, and other Candidate Content submitted as part of an interview or assessment.

Technical data: IP address, device type, browser type, and operating system, collected automatically when you access the Platform.

Where enabled by a Recruiting Organization, proctoring-related data during remote assessments, such as webcam images, screen activity, or browser activity logs, used solely to help maintain assessment integrity.

We do not intentionally collect sensitive personal data (such as data on health, religion, caste, or political opinions) unless a Recruiting Organization specifically enables a feature that requires it (for example, an equal opportunity disclosure form) and appropriate consent is obtained. Providing such information is generally voluntary unless required by applicable law.

2.3 Information Generated by AI Features Where a Recruiting Organization enables AI Features (such as automated transcription, resume parsing, scoring, or candidate ranking), WorkGlide's systems generate derived data, including transcripts, summaries, scores, and rankings, based on Candidate Content. This derived data is treated with the same protections as the underlying Candidate Content and is made available to the relevant Recruiting Organization to support, not replace, its own hiring decisions.

3. How We Use Information

We use the information described above to:

  • Provide, operate, and maintain the Platform, including facilitating interviews, assessments, and communication between Recruiting Organizations and Candidates;
  • Generate AI-assisted outputs (transcripts, summaries, scores) requested by a Recruiting Organization;
  • Authenticate users and secure Accounts;
  • Process payments and manage subscriptions with Recruiting Organizations;
  • Communicate with you about your Account, interviews, or scheduled assessments;
  • Monitor, investigate, and prevent fraud, abuse, or violations of our Terms and Conditions;
  • Improve and develop the Platform, including testing and improving the accuracy and fairness of AI Features, generally using de-identified or aggregated data where feasible;
  • Comply with applicable legal, regulatory, or contractual obligations.

We do not sell personal data to third parties.

4. How We Share Information

  • With the relevant Recruiting Organization: Candidate Content and related data are shared with the Recruiting Organization that invited the Candidate to apply or interview, for its recruitment purposes.
  • With service providers: we engage third-party vendors for hosting, cloud storage, analytics, payment processing, customer support, and similar functions, under contractual obligations to protect the data and use it only as instructed.
  • For legal reasons: where required to comply with applicable law, legal process, or governmental request, or to protect the rights, property, or safety of WorkGlide, our users, or the public.
  • In connection with a business transaction: such as a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality safeguards.
  • With your consent: for any other purpose disclosed to you at the time of collection, with your consent.

Recruiting Organizations are responsible for how they further use, share, or disclose Candidate data they receive through the Platform, in accordance with applicable law and their own privacy notices.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies to operate the Platform, remember preferences, analyze usage, and improve performance. You can control cookies through your browser settings; disabling certain cookies may affect the functionality of the Platform.

Google Analytics: Specifically, we utilize Google Analytics (a service provided by Google LLC) to analyze user behavior across our marketing landing pages and our logged-in platform at workglide.ai. Google Analytics relies on cookies to collect standard internet log data and visitor interactions (such as page paths and features accessed). This data is transmitted to and processed by Google solely to compile aggregated statistical reports for us. We use these insights to optimize our SaaS product and marketing strategies. To prevent Google Analytics from tracking your activity across the web, you can install the official Google Analytics Opt-out Browser Add-on.

6. Data Retention

We retain personal data for as long as necessary to fulfill the purposes described in this Policy, including to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

  • Candidate Content is generally retained for the duration specified by the applicable Recruiting Organization's data retention settings or contractual terms with WorkGlide, and is deleted or anonymized thereafter unless a longer period is required by law.
  • Recruiting Organization account and billing data is retained for the duration of the subscription and for a reasonable period afterward, as required for legal, accounting, or audit purposes.

Where a Candidate or Recruiting Organization requests deletion of data, we will act on such requests in accordance with Section 8 below and any applicable contractual or legal retention requirements.

7. Data Security

We implement reasonable technical and organizational measures, such as encryption in transit, access controls, and monitoring, designed to protect personal data against unauthorized access, alteration, disclosure, or destruction. However, no system is completely secure, and we cannot guarantee absolute security of information transmitted to or stored on the Platform.

8. Your Rights

Subject to applicable law, including the Digital Personal Data Protection Act, 2023 (India), you may have the right to:

  • Access the personal data we (or, where applicable, a Recruiting Organization) hold about you;
  • Correct inaccurate or incomplete data;
  • Request erasure of your data, subject to legal or contractual retention requirements;
  • Withdraw consent, where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal;
  • Request information about, or seek human review of, significant decisions made solely through automated means, where applicable;
  • Nominate another individual to exercise your rights on your behalf in the event of death or incapacity, where permitted by applicable law;
  • Lodge a grievance with our Grievance Officer (see Section 12) or, where applicable, with the relevant data protection authority.

Candidates should note that where a Recruiting Organization is the data controller for their information, some requests may need to be directed to, or coordinated with, that Recruiting Organization. WorkGlide will support such requests as required by applicable law and our contractual obligations to Recruiting Organizations.

9. Children's Privacy

The Services are not directed to, and are not intended for use by, individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have inadvertently collected personal data from a child, we will take steps to delete it.

10. International Data Transfers

WorkGlide may store and process data on servers located in India or other jurisdictions where our service providers operate. Where personal data is transferred outside your home jurisdiction, we take steps to ensure it continues to be protected in accordance with this Policy and applicable law, including through contractual safeguards with our service providers.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post the updated Policy on our website and revise the "Last updated" date above. Where changes are material, we will provide additional notice as required by applicable law. Your continued use of the Services after such changes constitutes your acceptance of the revised Policy.
